SyncApp.AI is a private room-booking tool for the people who work in and visit our shared office in Mountain View, California. It is operated by AI Aspire. It is not a public service, we do not advertise, and we never sell your information. This page explains what we collect and why.
What we collect
When you book a room we keep only what running the booking needs:
- Your name and email address.
- A phone number, only if the office has text reminders turned on and you choose to add one. This field is off by default.
- The company you are booking for, when the office asks for it.
- The room, date, and time of your booking.
- A record of booking actions (check in, cancel, release) so the office can keep the schedule honest and free up no-shows.
On your device
We use a few small pieces of local storage to make booking quick and to prove it is you:
- A signed sa_device cookie that remembers the bookings made on this device, so you can check in, change, or cancel them without a login.
- Your name, email, and company saved in this browser (sa_booker) so regulars book in one tap. Tap “Not you?” on the booking form to clear it.
- A sa_gate cookie only when the office is using an access code, to remember that you entered it.
- Standard sign-in cookies for administrators, handled by Supabase.
We do not run analytics, tracking pixels, ad networks, or third-party profiling of any kind.
How we use it
We use your information to hold your room, let you manage the booking, and send booking-related messages. That is all. We never send marketing and never sell your data, and we share it only with the service providers listed below, who process it on our behalf.
Messages we send
Booking emails (confirmations, reminders, and release, cancel, or time-check notices) are sent through Resend. If the office has texting enabled and you added a phone number, short booking-update texts are sent through Twilio. Those texts are about your booking only, never marketing, and you can reply STOP to any of them to opt out.
Who helps us run it
A small set of service providers processes data on our behalf, each only for the function listed:

How long we keep it
We keep bookings and their action history for as long as they are useful for running the office. Administrators can cancel or delete bookings. The log of messages we sent is kept as a delivery record. Error-monitoring events in Sentry are kept for about 30 days.
Your choices
You can clear the name and email saved in your browser at any time with the “Not you?” link on the booking form. For any request about your information, including access or deletion, email us at the address below.
